CLIENT Description

The ESUHSD's Special Education (SPED)/Individualized Education Program (IEP) department caters to a diverse student population with distinct needs, striving to provide customized educational assistance. It's crucial to acknowledge that a single student may have numerous individual goals, each necessitating quarterly and annual reporting as mandated by government regulations.
To meet these requirements, the district relies on the Special Education Information System platform (SEIS) to upload the student’s goal data and reports to CALPADS. However, SEIS only accepts finalized reports. Case managers are entrusted with the task of composing these reports based on collected progress reporting data from each of the student’s teachers. This process is not only time-intensive but also inefficient, as it involves gathering a large volume of reports each quarter.
Historically, the department struggled with inefficient methods involving Google Forms and email, leading to fragmented data collection, recurrent missed deadlines, and overwhelmed case managers and teachers, so they reached out for help.
OBJECTIVE
The district's SPED/IEP department sought a solution to efficiently collect and organize detailed information from teachers reporting on students' progress, accommodations, and behavior. The aim of the app was to streamline this process by consolidating all relevant data into a single platform. This not only facilitated teachers in identifying students and their goals, accommodations, and classroom behavior, but also assisted case managers in composing the mandatory quarterly and annual reports mandated by SEIS and governmental regulations.

OUTCOME
The newly developed IEP progress tracking app, Cinco6, significantly improved the efficiency and accuracy of data collection and reporting for the school district's IEP departments. Teachers could easily input and access student information, while case managers benefitted from a streamlined process for generating required reports. The app ensured consistency in data collection across schools and reduced the administrative burden, allowing the district to meet deadlines and comply with SEIS and government regulations. The automated email notifications and real-time status updates further enhanced user engagement and accountability.
REFLECTION
This project further sharpened my ability to design and implement comprehensive solutions tailored to complex educational needs. It underscored the importance of user-centric design and the integration of advanced technologies to enhance productivity and compliance. Moreover, it highlighted the need for effective management strategies, including user training and support, to ensure successful adoption and utilization of new systems. The inclusion of automated notifications and real-time updates played a crucial role in maintaining user engagement and ensuring timely completion of tasks.
